Your data, and how we look after it

01Who we are

Mawlytics is a golf practice-tracking app for players and coaches. It records practice sessions, measures performance using strokes-gained analysis, and lets coaches work with players, including reviewing swing videos.

For the purposes of UK GDPR, Mawlytics is the data controller for the personal data described in this policy.

02What data we collect

Account information

• Your name
• Your email address
• Your password (stored securely; we never see it in plain text)
• Whether you are a player or a coach, and your handicap level

Golf and practice data

• Practice sessions, test results, and strokes-gained data
• Personal bests, streaks, and progress over time
• Club distances ("your bag") and speed data you enter
• On-course round data you choose to record

Swing videos

• If you use the swing-review feature, the video you record and send to your coach, along with any coaching annotations made on it

Coaching relationships

• Links between coaches and players, assigned tests, and lesson notes

Payment information

When you subscribe, payment is processed by Stripe. We do not store your card details. Stripe handles payment data directly. We receive confirmation of your subscription status only.

Technical data

Basic information needed to run the app. We do not use third-party advertising trackers.

03How we use your data

We use your data to:

• Create and run your account
• Track your practice and show your progress and strokes-gained analysis
• Enable coaching features (assigning tests, lesson notes, swing review)
• Process your subscription and manage billing (via Stripe)
• Sync your data across your devices so you don't lose it
• Respond to support requests

We do not sell your personal data to anyone.

04Legal basis for processing

Under UK GDPR, we process your data on these bases:

• Contract — to provide the app and service you signed up for
• Legitimate interests — to keep the app working, secure, and improving
• Consent — for optional features such as recording and sending swing videos, and (where applicable) data relating to children
• Legal obligation — where we must keep records, such as for tax on payments

You can withdraw consent at any time where consent is the basis.

05Who we share data with

We use a small number of trusted service providers ("data processors") to run the app. They only process your data on our instructions:

We may also share data if required by law, or to protect the rights and safety of our users.

06What your coach can see

Mawlytics lets you connect your account to a coach so they can help with your game. Connecting to a coach is your choice, and you are asked to confirm it before the link is created.

Once you are connected to a coach, that coach can see the golf and practice data on your account. This is a broad view, and it is important you understand what it includes:

• All of your practice results — tests you complete on your own, tests your coach assigns to you, and tests run with your coach during a lesson
• Your strokes-gained analysis and how each result compares to your level
• Shot-by-shot detail for results recorded with it, including distances, proximities, and outcomes
• Your handicap and the benchmark your results are measured against
• Notes and drills your coach attaches to your sessions
• Swing videos you choose to send to your coach, and any annotations they add

Your coach uses this to give you coaching and track your progress. If more than one coach is connected to you, each result shows which coach it relates to.

You can disconnect from a coach at any time in your account settings. Disconnecting stops any further sharing of new data. Results and notes recorded while you were connected may remain visible to that coach in their existing records, unless you ask us to remove them.

If a player is under 18, a parent or guardian should be comfortable with this sharing before the player connects to a coach. See Children's data below.

07Where your data is stored

Your data is stored on servers located in the European Union (via Supabase). Where any provider processes data outside the UK/EU, we rely on appropriate safeguards as required by UK GDPR.

08How long we keep your data

We keep your data for as long as your account is active. If you delete your account, we delete your personal data, except where we are legally required to keep certain records (for example, payment records for tax purposes). Swing videos are deleted when you or your coach delete them, or when your account is deleted.

09Children's data

Mawlytics may be used by junior golfers under the age of 18, including through coaching academies.

• Where a player is under 18, we expect a parent or guardian to consent to their use of the app, and to the recording and sharing of swing videos with a coach.
• Coaches working with juniors are responsible for ensuring appropriate consent is in place before recording or sharing a child's swing video.
• We do not knowingly collect data from children without appropriate consent. If you believe a child's data has been collected without consent, contact us and we will remove it.

10Your rights

Under UK GDPR you have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Delete your data ("right to erasure")
• Restrict or object to certain processing
• Data portability — receive your data in a usable format
• Withdraw consent at any time where we rely on consent

To exercise any of these, contact us at the email at the top of this policy. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO) — ico.org.uk.

11Security

We take reasonable measures to protect your data, including encrypted connections (HTTPS), secure authentication, and access controls so that players' data is only visible to them and their connected coach. No system is perfectly secure, but we work to protect your information.

12Changes to this policy

We may update this policy from time to time. The "last updated" date at the top shows when it last changed. Significant changes will be communicated through the app where appropriate.
